Six Variables That Change Your Real Cost

Payment channel

Card-present transactions generally have lower public rates than online, manually entered, invoice, or card-on-file payments.

Average ticket

A fixed transaction fee consumes a larger share of a $10 sale than a $100 sale, even when the percentage rate is identical.

Card and customer mix

Rewards cards, commercial cards, international cards, debit routing, and transaction qualification can change underlying costs.

Pricing model

Flat-rate pricing blends costs into a simple number. Interchange-plus separates processor markup from varying pass-through costs.

Monthly volume

Higher-volume merchants may qualify for custom or automatic volume pricing, but the complete quote still matters.

Fixed and incidental fees

Software, statement, PCI, gateway, chargeback, instant deposit, equipment, and monthly minimum fees can raise the effective rate.

Average Rate vs. Effective Rate

An advertised processing rate describes one part of one payment method. Your effective rate measures what the business actually paid across all payment types and fees.

Effective rate = total monthly processing costs / monthly card sales x 100

If a merchant pays $640 on $20,000 in card sales, the effective rate is 3.20%. Compare that number with the payment mix on the statement, not only with a provider's lowest advertised percentage.

How to Tell Whether Your Rate Is Competitive

  1. Collect two or three recent processing statements.
  2. Add processing, transaction, monthly, software, gateway, and account fees.
  3. Calculate the effective rate for each month.
  4. Separate card-present, online, keyed, invoice, and card-on-file volume.
  5. Request at least two quotes using the same sales and transaction assumptions.
  6. Compare the full annual cost, contract terms, hardware, and operational fit.
